The Pillar Brain
One intelligence layer running your whole clinic.
Generic assistants give generic answers. The Pillar Brain holds your appointment logic, your fees, your practitioners and your escalation policy — then answers every call, message and enquiry the way your best receptionist would, and tells every other Pillar agent what to do next.
Clinic-controlled knowledge. Human oversight on anything clinical. AHPRA and privacy-aligned by design.
Live orchestration
Communications come in. The Brain decides. The right agent acts.
Watch one loop at a time: a real enquiry arrives on a real channel, the Brain reads it against your clinic, and the agent that should handle it does — or a person is brought in.

What it knows
It is not trained on the internet. It is trained on your clinic.
Four kinds of knowledge, all written and approved by your team.
Your services
Appointment types, durations, preparation notes, and what each practitioner does and does not treat.
Your commercials
Fees, rebates, funding schemes and exactly what a patient should be told before they arrive.
Your rules
Who can be booked with whom, how far ahead, what needs a phone call, and what must never be answered automatically.
Your voice
The way your clinic speaks — written and approved with you, never inferred from the internet.
One brain, every agent
Every Pillar agent runs on the same brain — so the clinic never contradicts itself.
Add an agent and it inherits everything already approved. Change a rule once and it changes everywhere, in every channel, the same day.
Front Desk Agent
Answers calls and books inside your rules because the Brain already holds the appointment logic.
Communications Agent
Carries one patient conversation across SMS, email, chat and missed calls without repeating a question.
Practice Assistant
Answers your team's questions about the day using the same knowledge patients hear.
Relay Agent
Routes anything sensitive, clinical or unusual to the right person with the full thread attached.
Launch Assistant
Builds the first version of the Brain from your website, forms and practice system in about 15 minutes.
Retention + Reactivation
Private beta. Works from the same approved knowledge, never from a separate script.
How a loop runs
From an unanswered phone to a closed loop, without your team touching it
- 01Automated
A message arrives
Call, missed call, SMS, email, web chat or social — every channel lands in one place.
- 02Automated
The Brain reads it
Intent, patient history and the clinic rule that applies are resolved before anything is said.
- 03Automated
The right agent acts
Book, reschedule, answer, confirm or follow up — inside the limits your clinic set.
- 04Human checkpoint
A person is brought in
Clinical risk, complaints and anything outside policy are escalated to your team with full context.
- 05Automated
The loop is closed
Written back to your PMS, summarised in the thread, and visible in the activity history.
Why it matters
The knowledge stays yours. The work gets lighter.
One source of truth
Every agent quotes the same fee, the same rule and the same wording — because there is only one Brain.
Nothing changes silently
Knowledge updates are proposed, shown in plain English, and go live only when your clinic approves them.
It gets better with use
Every escalation and correction becomes a rule, so the same gap does not come back next week.
Questions
Pillar Brain, answered
Is the Pillar Brain a chatbot?
No. It is the clinic knowledge and rules layer that every Pillar agent works from. Agents handle the conversations; the Brain decides what is true, what is allowed and when a person is needed.
Who controls what it knows?
Your clinic. Knowledge is written, reviewed and approved by your team, and any proposed change is shown to you before it goes live.
Does it replace our practice management system?
No. Pillar works beside Cliniko, Halaxy and other systems, reading availability and writing bookings back rather than replacing your records.
What happens with clinical questions?
They are held from automation. The Brain applies your escalation policy and routes the conversation to a person with the full thread attached.
